Workflow-System for Archives of the Republic of Slovenia

The Slovenian Film Archive, as an integral part of the Archives of the Republic of Slovenia, is obliged to permanently store the film archives produced within the framework of Slovenian film and audiovisual (A/V) production.

There is currently a manual overview and a review of the received material. This will be replaced by a workflow system, the entire process will be standardized and comprehensive.

The archive of the Republic of Slovenia takes over the film and A/V archives in accordance with archival legislation. Producers (eGenerator) produce film and A/V archives in the formats and formats that the Archives of the RS determine for long-term storage. Both film and A/V content with associated metadata that the sender incorporates into the receiving information package (hereinafter referred to as SIP) may include photographic and textual content in addition to video and audio content. The content of the SIP (or several SIPs within a single rendition) is defined by the RS Archive with the Technical Instructions (hereinafter referred to as STN). When the SIP material is taken over, it is checked and if it does not fit, the sender must complete it and re-send it in full.

If the structure and content of the SIP is appropriate (or in the first phase of the file in a specific folder structure), we import it into a transparent part of the system along with all metadata. At the same time, a report of executed procedures with values ​​in the form of XML is created and sent to the system as well as in the scopeArchiv and the clipboard.

The system remains a preview file that contains all imported data and additional files. Depending on the user, we define the type of access and all rights. Users can access content in the RS Archive or an Internet access file with integrated watermark can also be created.

It is also important to integrate with other systems, that is, calling a client (displaying certain content) through other applications or systems, via a REST-API or another method. This integration will be done in the scopeArchiv and Virtual Archival Reader (VCI).
The system must also allow for changes and creation of new workflows, where we can modify and add new codecs, solutions from other software producers, other clipboard, etc and will connect and support work with the digitizer of the film tape (SET C).
